1. Introduction
RacePSL (Pty) Ltd ("RacePSL", "we", "us", "our") operates the RacePSL motorsport intelligence platform available at www.racepsl.co.za.
We are committed to protecting your personal information and complying with the Protection of Personal Information Act 4 of 2013 ("POPIA"). This Privacy Policy explains what information we collect, why we collect it, how we use it, and what rights you have.
By using RacePSL, you acknowledge that you have read and understood this policy.
2. Information We Collect
Account holders (parents, guardians, team managers): Full name, email address, WhatsApp / mobile number, password (encrypted).
Racer profile information: First name and surname, race number, championship entries and class, race results, points and standings.
Event and competition data: Heat results and finishing positions, championship standings and points, judicial records (accessible to authorised officials only), medical fitness-to-compete status (accessible to authorised race officials and medics only).
3. What We Display Publicly
RacePSL displays only the following information on public-facing pages: racer first name and surname, race number, championship and class, race results and championship points.
This information is already in the public domain, having been published in official championship entry lists and event programmes issued by championship organisers and Motorsport South Africa.
The following is never displayed publicly: contact numbers or email addresses, physical or postal addresses, medical fitness status or incident records, financial or insurance information, judicial records beyond confirmed public results.
4. How We Use Your Information
We use personal information to operate the RacePSL platform and racer passport service, display standings and racer profiles, deliver automated race result notifications via WhatsApp, manage passport registration and account access, process payments, support championship governance for authorised officials, communicate with you about your account, and comply with legal obligations.
6. Minors
Many racers on RacePSL are minors. We take the protection of children's personal information seriously in accordance with POPIA.
Racer passports for minors must be claimed and managed by a parent or legal guardian. We collect only the minimum information necessary. We do not display contact details or any private information about minor racers on public pages. Public display is limited to race name, race number and competition results — information already in the public domain through official championship records.
7. Medical Data
RacePSL collects medical fitness-to-compete status as part of its medical governance layer. This information is accessible only to authorised medical officers and race officials within the relevant championship, is never displayed publicly or shared with commercial third parties, and is used solely to support race safety and championship governance.
Medical data is treated as special personal information under POPIA and is processed with the highest level of protection.
8. Data Retention
We retain personal information for as long as necessary to provide the platform and fulfil the purposes in this policy, or as required by law. Competition records (results, standings) form part of the official championship record and cannot be deleted. You may request deletion of personal account information by contacting us.
9. Your Rights Under POPIA
As a data subject under POPIA, you have the right to access, correct, request deletion of, and object to the processing of your personal information. You also have the right to lodge a complaint with the Information Regulator of South Africa.

10. Security
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, disclosure, alteration or destruction. In the event of a data breach that poses a risk to your rights, we will notify you and the Information Regulator as required by POPIA.
